Operator playbook

Measure quote-to-booking conversion

Quote-to-booking rate should compare quoted opportunities with their eventual confirmed outcomes. Allow for the actual sales cycle so recently issued quotes do not look artificially unsuccessful.

A practical sequence

  1. Choose a quoted-opportunity cohort and track it over time.
  2. Separate open decisions from explicit losses and confirmed bookings.
  3. Review the rate by vessel, trip type and loss reason when volumes allow.

What to check before acting

Count opportunities rather than each revised PDF. Multiple quote versions for one trip should not inflate the denominator.

The signal to track

Confirmed opportunities / quoted opportunities in a mature cohort

Use your own operating records and a consistent comparison period. Mark information that is incomplete rather than treating it as zero. If the sample is small, review individual enquiries before drawing a broad conclusion.

Use this in your next review

Choose one available charter offer and a set of recent enquiries. Write down the current approach, the first step above that is missing and the person responsible for improving it.

  • Offer and vessel being reviewed
  • Evidence available for this signal: Confirmed opportunities / quoted opportunities in a mature cohort
  • One change, one owner and a date to review it

If the answer is unclear, investigate that gap before spending more on traffic. Keep offer changes separate from process changes so the team can interpret what happened.
